What is a PIM and does a small business need one?

A PIM — product information management — is one place that holds everything true about a product, so every channel reads the same record instead of keeping its own copy. A small business needs one as soon as the same product exists in more than two places and someone has to remember to update all of them. Below that, a spreadsheet is genuinely fine. Above it, the cost is paid in wrong prices and stale descriptions rather than in software.

The decision is not really about software. It is about whether one field has one owner. A catalogue kept in a store admin, a spreadsheet and an ERP will disagree, because three people are maintaining three copies and none of them is wrong from where they sit. We build the single record from the ERP item master outward, then feed the channels from it, which is the same discipline a PIM platform sells without the licence.

Questions we get asked

How do we know if we need a PIM?
Count the places a product description can be edited. If it is more than one, the copies have already diverged, and the only question is how long until it costs you an order.
Is a spreadsheet really enough for a small catalogue?
For one channel and stable products, often yes. It stops being enough the moment a second channel needs the same data in a different shape.
What does a catalogue build actually produce?
One structured record per product, a feed per channel, and a gap report naming every SKU missing a description, price, conversion, weight or drawing link.
Can we keep using our existing store and ERP?
Yes. The record sits between them and feeds both. Nothing is replaced; the systems simply stop disagreeing.
